JOB SUMMARY:
The Office Manager/Data Management Specialist coordinates administrative and operational systems and procedures to support the agency's achievement of program goals and initiatives. Serves as a liaison with vendors and suppliers to maintain equipment and supplies. Maintains office calendar of events and deadlines and monitors workflow in the office. Trains staff in office procedures and equipment use. Collects enrollments, fees and registrations for programs and facilitates related processes. Books rentals and supports the finance department in collection of fees for all earned revenue related to facilities. Serves as the primary data entry specialist for a Membership Tracking Software, trains and supports other users.

ESSENTIAL JOB RESPONSIBILITIES:
Resource Management
The Office Manager/Data Management Specialist provides Administrative support to core agency staff and serves as the primary interface with parents and community for agency information, registration and support including:
- Preparing Correspondence and reports, answering telephone inquiries and maintaining electronic and hard copy files of various agency transactions.
- Ensuring that workflow of the office and front desk is streamlined and efficient.
- Orders, coordinates and communicates with vendors and provides agency wide support for office repairs and maintenance.
- Serves as the first “face of the agency” for new families.
- Maintains, updates and supports staff in the use of data tracking in the agency membership database. The Office Manager/Data Management Specialist is responsible for collecting and formatting the Outcome Measurement data for respective use for Development and cost performance aspects.
- Work with the Development Office to maintain the E-Tapestry Database.
- Serve as the primary administrator of Constant Contact Messages for enrolled families.
- The Office Manager manages and tracks scholarship programs such as Person to Person, Town of Greenwich DSS, Care for Kids and other campership programs.
- The Office Manager is the agency’s primary bilingual staff to communicate with parents and community.
- The Office Manager supervises and supports Part Time Staff in the reception area and with data entry.

Special Events and Rentals
The Office Manager serves as the agency's Rental/Private Use interface. This includes:
- Answering questions for potential renters
- Booking rentals, preparing contracts
- Tracking submission of signed contracts, insurance and down payments
- Securing necessary staff to cover booked events
- Keeping the Master Calendar of scheduled events for the Agency property and sharing as needed with staff.
- Serves as the main point of contact for ongoing renters.

Marketing and Public Relations
- The Officer Manager works in collaboration with the Development Department to market the agency programs and to give feedback/input into the development of new marketing materials and strategies.

Additional Responsibilities
- The Office Manager keeps inventory of administrative supply equipment/items and is interface with administrative supplies of paper, ink and copier items.
- The Office Manager maintains daily and weekly schedule of staff movement/activity.
- The Office Manager assists in updating of the Program Handbook, Camp Handbooks, and brochures.
- The Office Manager assists in agency special events and special projects as required.

Job Requirements

Preferred Certifications/Skills:
- BA/BA preferred
- Ability to speak Spanish
- Positive Customer Service interactions
- Must enjoy working in a fast paced, collaborative environment
- Must have strong computer skills, including Microsoft Word and Excel
- Ability to relate appropriately with children of all ages

Physical Demands:
- Sufficient strength, agility and mobility to perform essential functions of position and to supervise program activities.
- Ability to communicate verbally and in writing.
- Ability to sit or stand for long periods of time.
- Ability to perform activities which require sustained concentration and attention.
